Job Summary
The Travel Operations Specialist manages day-to-day corporate travel workflows, resolves traveler issues, and enforces travel policy across international teams. Core daily responsibilities include serving as the primary contact for global travel queries, monitoring vendor service levels, auditing complex travel invoices for refunds and credits, tracking unused flight vouchers, and analyzing international spend, travel trends, and carbon emissions.

Key Responsibilities
1. Global Traveler Support & Crisis Coordination (30%)
- Resolve Travel Queries: Act as the primary corporate contact for distributed colleagues globally, resolving complex ticketing, visa documentation, transit rules, and booking issues.
- Coordinate Emergency Care: Provide calm, systematic support during international travel disruptions, schedule changes, or regional emergencies, working quickly with suppliers to protect team safety.
- Support Event Logistics: Partner closely with the broader Business Services and event teams to plan and execute logistics for large company-wide meetings and major industry events.
2. Vendor Management & Accountability Architecture (25%)
- Monitor Vendor Delivery: Hold global travel management companies (TMCs), corporate hotel groups, and airlines accountable to strict service level agreements (SLAs).
- Manage Supplier Relations: Identify supplier service failures, handle escalations for bad service, and partner with leadership to build stronger vendor relationships.
- Optimize Travel Upgrades: Oversee corporate benefit distribution, ensuring eligible team members receive Priority Pass access and long-haul travel upgrades smoothly.
3. Financial Audit, Refunds & Asset Tracking (25%)
- Audit Travel Invoices: Audit complex multi-entity travel billing sheets to ensure precise charges, correcting invoicing errors and securing timely refunds or credits.
- Track Unused Air Assets: Manage tracking systems for unused flight tickets, corporate travel credits, and airline loyalty point banks, ensuring these assets are reused effectively to minimize waste.
4. Spend Analytics, Policy Governance & Emissions Tracking (20%)
- Track Compliance Metrics: Analyze travel data arrays to ensure complete alignment with Canonical's corporate travel policy guidelines, addressing policy gaps proactively.
- Monitor Spend and Carbon Trends: Compile regular analytical reports tracking global corporate travel spend patterns and corresponding carbon emissions ($CO_2$) data to support company sustainability targets.
