Job Summary
The Specialist, Central Store is responsible for overseeing the effective management of RSSB’s central store operations, ensuring proper receipt, storage, distribution, and accountability of goods and materials. Working closely with the Head, Supply Chain Management, the role ensures optimal stock management, compliance with operational procedures, and continuous improvement of store management practices to support institutional effectiveness and service delivery while maintaining high standards of efficiency, safety, and customer service.
Qualification
- Master’s Degree in Procurement, Supply Chain Management, Business Administration, Accounting, Logistics, Finance, or any other relevant field
- OR Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, Accounting, Logistics, Finance, or any other relevant field
Experience
- At least 4 years of relevant experience (for Master's Degree holders)
- At least 6 years of relevant experience (for Bachelor's Degree holders)
- Experience working in a large institution or highly regulated financial services environment is preferred
- Demonstrated ability to mentor and guide team members effectively is preferred
Core Duties and Responsibilities
- Oversee the reception of all items and goods delivered to RSSB
- Coordinate the verification of delivered items and ensure damaged goods are replaced
- Coordinate data entry processes for delivered items
- Oversee the distribution of items and goods to user departments whenever needed
- Set up store layouts and ensure efficient space utilization
- Initiate, coordinate, and enforce optimal operational policies and procedures related to store management
- Maintain standards of health and safety, hygiene, and security
- Manage stock control and reconcile records with the data storage system
- Coordinate monthly physical inventory exercises and prepare related reports
- Coordinate replenishment processes and initiate purchase order requests
- Ensure high levels of internal customer satisfaction through excellent service delivery
- Liaise with clients, suppliers, and transport companies to support smooth store operations
- Receive feedback and monitor the quality of services provided
- Collaborate with the Finance Office during financial reconciliation processes
- Prepare annual budgets related to store management activities
- Produce regular reports and statistics, including IN/OUT status reports and dead stock reports
- Support operational planning and continuous improvement initiatives
- Manage staff under his/her supervision, develop performance contracts, evaluate performance, plan work schedules, assign tasks, and appraise results
- Perform any other duties related to central store management as may be assigned from time to time
