Job Summary
The Project Support Officer handles Power BI reports, budget checks, market tracking, and mission logs. Core duties include cleaning project databases; writing technical Terms of Reference (ToRs); running spend analysis sheets; setting up predictive project tracking models; processing travel profiles; and arranging stakeholder workshops.
Key Functions & Expected Results
1. Data Analytics, Cloud Visualization & Information Management
- Collect, clean, structure, and validate multi-country project datasets to ensure data accuracy and reliability.
- Design, build, and maintain centralized databases, operational tracking sheets, and real-time cloud information systems.
- Program and deploy automated data visualization assets and dashboards utilizing corporate platforms like Power BI or Looker Studio to keep performance data accessible.
- Run statistical and qualitative analyses to identify implementation trends, bottleneck indicators, and resource utilization insights for senior leadership.
2. Project Lifecycle Administration & Operational Delivery
- Support comprehensive project work-planning, budgeting, and execution workflows in strict compliance with UNOPS organizational directives.
- Draft complex project artifacts, including institutional Terms of Reference (ToRs), inter-agency service agreements, donor budget logs, and formal procurement requisitions.
- Track project milestones, activity dependencies, and field outputs, alerting cluster management to impending timeline slips or budget overruns.
- Coordinate logistics, administrative workflows, and travel routing for international workshops, field missions, and stakeholder panels.
3. Financial Oversight & Procurement Coordination
- Review project budget utilization patterns, track transaction ledgers, and compile rigorous documentation required for internal and external financial audits.
- Perform market research, draft technical solicitation profiles, and support formal bid evaluations and contract administration workflows.
- Process international vendor invoices, travel expense claims, and sub-grantee disbursements through web-based enterprise management software.
4. Monitoring, Evaluation (M&E) & Strategic Reporting
- Establish and calibrate local monitoring systems to track program indicators against active multi-year donor agreements.
- Feed performance data into predictive analytical and forecasting models to guide strategic planning sessions.
- Draft evidence-based narrative reports, technical briefs, and visual slide Decks to meet donor accountability standards.
5. Knowledge Management & Collaborative Capacity Building
- Support the assembly, curation, and execution of internal training modules and learning events focused on UN project management practices.
- Participate in international Communities of Practice (CoPs), documenting field lessons learned and sharing operational methodologies across the SDC portfolio.
Foundational Capabilities & Prerequisites
Required Academic Background & Experience
- Education Track A: Bachelor’s degree (or equivalent validation) in any academic discipline combined with a minimum of two (2) years of relevant experience in project management, operations support, or related areas.
- Education Track B: Master’s degree (or equivalent validation) in any academic discipline with zero (0) years of required experience.
- Systems Literacy: Proven, demonstrable mastery across modern collaboration platforms and web-based enterprise management suites (e.g., Microsoft Office, Google Workspace, cloud database systems).
Desired Professional Qualifications
- Methodology Certification: Globally recognized credentials or professional memberships in formal project management (such as PRINCE2, PMP, or UNOPS PM Foundation) are highly desired.
- Geographic & Sector Context: Prior experience working within multicultural environments or UN system organizations inside a developing nation or humanitarian/development context is highly valued.
