Job Summary
The Online Volunteer manages virtual meeting links, attendee registries, strategic decision logs, and milestone tracking boards. Core duties include joining live digital sessions via Zoom or Teams; organizing discussions into clear themes; mapping out distinct action steps; assigning tasks to specific stakeholders; and delivering finalized executive summaries within 24 hours.
Key Roles & Operational Responsibilities
1. Real-Time Virtual Session Monitoring & Capture
- Join scheduled virtual project meetings, stakeholder roundtables, and advisory panels across the 12-week assignment period.
- Adapt flexibly to shifting meeting windows, adjusting schedules to accommodate sessions running between 45 and 90 minutes primarily during West African Time (WAT) or East African Time (EAT) business hours.
- Listen actively to multi-accented international panels to capture technical development discourse, policy arguments, and operational decisions accurately without interrupting flow.
2. High-Performance Executive Documentation & Synthesis
- Author and format structured written summaries for up to 24 complex international development meetings, adhering to a strict 24-hour post-session delivery deadline.
- Organize every summary document to include an exact record of institutional attendees, a clear breakdown of meeting goals, and a synthesis of primary talking points.
- Separate minor exploratory chatter from binding programmatic choices, ensuring the core takeaways are instantly clear to busy executives.
3. Action Optimization & Project Tracking
- Draft unambiguous, tabular action-item sheets that explicitly pair every follow-up commitment with a named responsible party and a firm, agreed deadline.
- Audit and catalog all supplementary files, research slide decks, legal whitepapers, or institutional emails referenced or shared during the video conference.
- Route draft reports to the timbuktoo project tracking desk to keep consortium partners, grant managers, and regional stakeholders highly accountable.
4. Data Security & Professional Conduct
- Maintain strict professional discretion and confidentiality when handling sensitive inter-governmental negotiations, proprietary venture fund data, and draft program frameworks.
- Coordinate smoothly with the internal timbuktoo program desk, adjusting documentation styles based on internal template updates and editorial feedback.

Experience & Competencies Required
- Advanced Note-Taking Skill: Proven ability to accurately track, distill, and log multi-stakeholder technical discussions in real time within a professional environment.
- Linguistic Mastery: Native or professional fluency in written and spoken English, paired with a portfolio or track record of writing concise executive summaries, corporate briefs, or research logs.
- Digital Literacy: Practical familiarity with modern virtual communications suites—specifically Zoom, Google Meet, and Microsoft Teams—along with cloud collaboration platforms like Google Workspace or Microsoft 365.
- Information Ethics: Absolute commitment to maintaining data privacy, showing discretion with sensitive operational data, and upholding professional standards in diplomatic contexts.
