Job Summary
The Procurement Store Intern will audit incoming supplier shipments, manage physical-to-digital inventory reconciliations, execute safe warehouse layout organizations, coordinate packaging and dispatch documentation for field drop-offs, and monitor stock levels within Warehouse Management Systems (WMS).
Qualification
- Academic Foundation: Completed Bachelor’s degree in Procurement, Supply Chain Management, Logistics, Business Administration, or Accounting.
- Linguistic Skills: Professional fluency in both English and Kinyarwanda (written and verbal) to collaborate effectively with local warehouse staff and international sourcing teams.
- Software Competency: Basic proficiency within the Microsoft Office suite and Google Workspace applications.
- Technical Agility: Strong baseline ability to quickly learn and adopt digital corporate tracking software and Warehouse Management Systems (WMS).
- Core Soft Skills: Strong communication habits, excellent interpersonal skills, a clean team-player mindset, and close attention to detail.
Experience
Candidates must demonstrate foundational exposure to fast-paced operational or stock-room environments:
Core Stock Control & Warehouse Logistics
- Professional Longevity: Between 6 to 12 months of experience operating within an inventory management, procurement assistant, material handling, or similar data-entry role.
- Inventory Quality Assurance: Basic experience checking incoming physical items against technical purchase orders, billing invoices, or delivery logs.
- Discrepancy Resolution: Familiarity with participating in physical-to-digital stock adjustments, identifying stock shrinkage, or generating damage reports.
- Shipment Prep & Dispatch: Exposure to preparing cross-border or internal field shipments, including packaging design, generation of packing lists, and managing cargo loading lines.
Key Responsibilities
Inventory Quality Control & Warehouse Auditing
- Verify Supplier Shipments: Inspect incoming cargo batches to confirm that quantities, physical specifications, and qualities align directly with approved procurement orders.
- Audit Damage Controls: Flag, separate, and report damaged, non-compliant, or expiring materials to senior store managers to protect inventory standards.
- Own Data Registration: Update internal tracking sheets to ensure all received, inspected, and rejected components are logged with zero data drift.
Stock Verification & Spatial Management
- Execute Stock Counts: Participate in routine physical cycle counts and monthly comprehensive warehouse stock audits.
- Investigate Discrepancies: Research variances between warehouse floor realities and central system logs, correcting anomalies alongside the accounting cell.
- Optimize Storage Layouts: Organize, label, and position inventory items according to strict spatial strategies, safety codes, and accessibility standards.
Order Fulfillment, Logistics, & Team Synthesis
- Coordinate Outbound Shipments: Prepare, bundle, and box inventory requested by field offices, internal research programs, and regional agricultural networks.
- Manage Dispatch Paperwork: Complete shipping manifest logs, transit bills, and customs tags to ensure smooth transit across field locations.
- Contribute to Process Upgrades: Participate in cross-departmental supply chain meetings, utilizing your field observations to recommend workflow improvements that enhance inventory speed and safety.
