Job Summary
The Procurement Officer – Farm Operations is responsible for the sourcing and procurement of materials, equipment, consumables, and operational requirements supporting farm production activities. The role ensures the timely procurement of farm-related items while maintaining cost efficiency, strict supplier accountability, and seamless operational continuity across Kivu Choice's core aquaculture production workflows.
Qualification
- Bachelor's degree in Procurement, Supply Chain, Logistics, Engineering, Agriculture, or a related field.
- Preferred: Knowledge of ERP systems, with a specific preference for ERPNext.
Experience
- Minimum of 3–5 years of professional experience in procurement or operational sourcing.
- Experience in agriculture, aquaculture, manufacturing, or industrial operations is considered a strong advantage.
- Proven experience managing procurement lifecycles in a fast-paced operational environment.
Core Duties and Responsibilities
Farm Operational Procurement:
- Manage the end-to-end procurement of farm operational materials including nets, ropes, cage accessories, fish handling equipment, tools, PPEs, and production consumables.
- Support strategic sourcing of technical assets required for cage farming, hatchery development, feeding, and harvest operations.
- Ensure timely delivery of farm operational requirements and coordinate emergency or urgent requests to minimize production downtime.
Supplier Management & Sourcing:
- Source, vet, and evaluate suppliers for farm operational materials and localized services.
- Obtain competitive quotations, negotiate pricing structures, and secure cost-effective purchasing agreements.
- Maintain strong, long-term supplier relationships while monitoring supplier delivery performance.
- Coordinate logistics with both local and international suppliers to streamline inbound timelines.
Inventory Coordination & Process Management:
- Collaborate closely with warehouse and farm teams to monitor active stock levels and determine replenishment thresholds.
- Cross-reference material specifications and delivery timelines directly with requesting departments to support procurement forecasting.
- Generate and manage Purchase Requests (PRs) and Purchase Orders (POs) using ERPNext.
- Follow up on pending deliveries and ensure proper documentation is verified during the warehouse receiving phase.
Reporting & Compliance:
- Maintain accurate, up-to-date procurement records and tracking logs.
- Ensure all purchasing activities comply with internal corporate procurement policies and established approval workflows.
- Support ongoing organizational audit readiness through structured documentation and record filing.
