Job Summary
The IT Project Senior Associate coordinates, executes, and governs digital transformation and systems implementation projects. Core duties include building detailed work breakdown structures (WBS), tracking RAID logs, coordinating cross-functional multi-country teams, facilitating User Acceptance Testing (UAT), managing vendor procurement, and preparing executive project status dashboards.
Qualification
Educational Level
- Minimum Requirement: Bachelor’s degree in Project Management, Information Systems, Computer Science, Business Administration, Engineering, or a closely related technical-business discipline.
- Professional Credentials (Highly Valued Assets): Hold or actively pursue project management certifications, such as CAPM, PRINCE2 Foundation, Agile/Scrum, or be actively working toward full PMP accreditation.
Experience
Candidates must demonstrate balanced expertise across systems implementations and professional project coordination:
IT Project Tracking & Systems Implementation
- Tenure Alignment: A minimum of 4 to 5 years of progressive, professional experience operating within project coordination, project management assistance, or formal PMO environments.
- Technology Implementation Footprint: Proven track record supporting technology deployments, enterprise resource planning (ERP) roll-outs, systems integration, or corporate digital transformation initiatives.
- Cross-Border Environments: Prior experience operating within multi-country, international, or regional East/Central African environments is highly valued.
- PMO Toolkit Competency: Complete fluency in industry-standard project management and collaboration software, including Smartsheet, Jira, Microsoft Project, ClickUp, Asana, or equivalent systems.

- Governance & Architecture: Strong understanding of end-to-end project controls, including setting project baselines, tracking scope boundaries, resource capacity planning, and managing vendor delivery.
- Linguistic & Communication Balance: Exceptional written and verbal communication skills, showing a clear ability to present technical project parameters cleanly to non-technical business leaders.
Key Responsibilities
1. Project Planning, Structuring & End-to-End Delivery (30%)
- Independently Lead Projects: Manage assigned low- to medium-complexity Digital Transformation projects from initial kickoff through final closeout.
- Build Project Blueprints: Write detailed project plans, mapping out Work Breakdown Structures (WBS), task dependencies, critical paths, and resource plans.
- Develop Governance Artifacts: Create and maintain project charters, delivery roadmaps, and schedule baselines to guide cross-functional teams toward agreed project outcomes.
- Escalate Project Risks: Identify and escalate significant delivery roadblocks, scope creep, or timeline risks early to the Head of IT Projects or Senior Project Managers.
2. Stakeholder Engagement & Regional Coordination (25%)
- Bridge Teams Effectively: Build strong, trusted working relationships across international country branches, business units, technical divisions, and third-party implementation partners.
- Facilitate Governance Forums: Lead project team meetings, workshops, and steering committee preparation sessions to keep all parties aligned.
- Drive Business Adoption: Manage communication plans and stakeholder registers to support business readiness and ensure strong user adoption during system roll-outs.
- Support IT Procurement: Coordinate third-party vendor tasks and support corporate procurement activities related to assigned technology deployments.
3. Project Governance, RAID Logs & Quality Control (25%)
- Enforce PMO Standards: Ensure all assigned projects strictly follow internal PMO methodologies, template designs, and document control guidelines.
- Maintain Control Logs: Own and update project governance tools, including RAID Logs (Risks, Assumptions, Issues, Dependencies), Decision Logs, Change Requests, and Lessons Learned repositories.
- Coordinate System Testing: Lead User Acceptance Testing (UAT) sessions, conduct implementation readiness reviews, and coordinate deployment steps.
- Support System Audits: Assist with project quality reviews and methodology audits to ensure technology systems meet target operational standards.
4. Performance Metrics, Dashboarding & PMO Excellence (20%)
- Track Budget & KPIs: Monitor project performance against approved schedules, resource allocations, operational budgets, and key performance indicators (KPIs).
- Prepare Progress Dashboards: Write and present accurate project status summaries, performance trends, and executive-level dashboard reports.
- Promote Knowledge Sharing: Document post-project reviews and compile lessons learned to support continuous optimization across the regional PMO.
- Support Capacity Planning: Analyze resource usage and vendor performance trends to maximize project delivery efficiency.
Expected Outputs & Deliverables
- Standardized, baseline-approved project charters, detailed WBS documents, and implementation schedules.
- Active, meticulously maintained project RAID logs, decision registers, and change control documents.
- Successful coordination and documented sign-off for regional User Acceptance Testing (UAT) phases.
- Weekly and monthly project status dashboards and executive financial variance reports.
- Codified lessons-learned case studies added to Inkomoko's central PMO knowledge repository.
