Job Summary
The Healthcare IT Project Manager plans, tracks, executes, and delivers end-to-end technical initiatives and software integrations across the organization. Core daily responsibilities include configuring and monitoring milestone metrics inside platforms like Jira, ClickUp, or Asana; authoring detailed Standard Operating Procedures (SOPs) and technical system guides; auditing database frameworks to ensure strict data integrity and compliance; translating stakeholder needs into actionable technical requirements; and leveraging modern AI technologies to maximize documentation efficiency.
Foundational Capabilities & Prerequisites
- Professional Longevity: Proven, verifiable experience operating as a Project Manager within a strong IT, software deployment, or technical operations background.
- Systems Fluency: Solid, functional understanding of technical systems, digital workflows, software architectures, and database structures.
- Tooling Infrastructure: Hands-on experience utilizing enterprise-grade project tracking platforms such as Trello, Jira, Asana, ClickUp, or directly equivalent systems.
- Data Governance: Strong foundational knowledge of data management principles, file system organization, and the synthesis of complex technical documentation.
- Cognitive Agility: Demonstrated ability to decipher, learn, and master unfamiliar, complex technical platforms and specialized software systems quickly.
- Collaborative Command: Excellent analytical, problem-solving, and decision-making skills paired with a track record of managing cross-functional teams or diverse organizational stakeholders.
- Communication Mechanics: Elite written and verbal English communication skills, with a native habit of maintaining highly organized, detail-oriented work outputs.
- Ecosystem Utility: Complete proficiency operating within Google Workspace (Docs, Sheets, Drive, Meet) and modern digital collaboration environments.
- Mission Alignment: A deep passion for contributing to a mission-driven organization focused on improving human lives and supporting vulnerable populations.
- Schedule Architecture: Commitment to working a part-time framework (20–34 hours/week) initially, with the absolute availability to assume a full-time schedule upon completion of the training track.
Preferred Technical Multipliers
- Industry Specialization: Prior direct experience managing projects within healthcare ecosystems, health informatics, Electronic Health Records (EHR) systems, or related IT spaces is highly valued.
- AI Implementation: Experience actively leveraging generative AI tools (such as ChatGPT and similar technologies) to enhance documentation depth, automate reporting, and optimize operational velocity.
Technical Workflow Architecture
As a Healthcare IT Project Manager, your weekly routine balances system structuring, risk monitoring, and digital optimization:
- Implementation & Milestone Tracking: Building clean, transparent project spaces inside ClickUp or Jira, breaking down large software migrations or portal updates into daily sprints, and removing technical blocks for cross-functional teams.
- Documentation Architecture & AI Augmentation: Drafting pristine, step-by-step SOPs and system guides for data entry and software usage. You will utilize advanced AI prompting models to accelerate reporting and audit documentation for absolute clarity.
- Data Integrity & Compliance Auditing: Reviewing access protocols, ensuring client information remains cleanly organized and uncorrupted, and enforcing strict data security boundaries to shield sensitive healthcare records.
- Process Gap Analysis: Dissecting current operational bottlenecks—such as manual appointment coordination steps—and mapping out automated system integrations to drive digital efficiency.
Key Responsibilities
1. End-to-End Technical Project Governance
- Lead and manage technical initiatives from initial conceptual planning and architecture alignment through to final execution, testing, and delivery.
- Deploy project management systems (Trello, Jira, Asana, ClickUp) to establish transparent milestones, baseline timelines, ownership assignments, and asset tracking.
- Monitor project risk vectors continuously, troubleshoot system bottlenecks, and implement highly effective technical solutions to keep rollouts on schedule.
2. System Optimization, Integration & Digital Alignment
- Act as the core translator and operational liaison between non-technical business stakeholders, senior leadership, and technical teams.
- Identify operational process gaps across the organization's digital footprint and recommend definitive software, workflow, or automation improvements.
- Support active system integrations, third-party software implementations, and overall digital process optimization to reduce administrative overhead.
- Maintain structured, secure, and highly organized communication flows across the company using Google Workspace and modern collaboration channels.
3. Data Integrity, Compliance & Documentation Engineering
- Develop, index, and maintain exhaustive technical documentation, standardized operating procedures (SOPs), system guides, and data-entry rubrics.
- Oversee and organize company data repositories, ensuring absolute data integrity, historical accuracy, and strict adherence to data security and compliance standards.
- Leverage AI productivity tools systematically to optimize the speed, structure, and depth of operational data reporting and technical content generation.
