Job Summary
The Front Desk Receptionist will orchestrate daily guest arrival and departure flows, update and maintain the reservation ledger, answer and route incoming inquiries, balance shift front-desk accounts, and coordinate closely with housekeeping and concierge teams to deliver a seamless luxury stay.
Qualification
- Formal Education: A Diploma or Bachelor's degree in Hospitality Management, Tourism Studies, Public Relations, International Relations, Business Administration, or a closely related discipline is highly preferred.
- Technical System Mastery: Foundational or intermediate proficiency operating modern Hotel Management Systems / Property Management Systems (PMS) such as Opera, Fidelio, Cloudbeds, or equivalent enterprise front-office suites.
- Communication Metrics: Exceptional command of verbal and written communication, demonstrating active listening, professional articulation, and a highly polished corporate phone etiquette.
- Interpersonal Demeanor: Natural emotional intelligence, conflict-resolution capabilities, and an adaptive personality suited for handling a diverse, global clientele.

Front Office Operations & Guest Relations
- Professional Longevity: A minimum of two (2) years of dedicated, hands-on experience working at a front desk, reception area, or front-of-house operations center.
- Luxury Hospitality Exposure: Prior background operating within an upscale hotel, boutique lodge, or premium executive lounge is highly advantageous, showing an understanding of elevated service standards.
- Guest Flow Management: Proven experience navigating the complete guest journey, including registration workflows, luggage handling coordination, keycard issuance, and final check-out account balancing.
Reservation Architecture & Inquiry Resolution
- Ledger Administration: Experience inputting, modifying, and tracking reservations coming through direct channels, email networks, and Online Travel Agencies (OTAs) like Booking.com or Expedia.
- Inquiry Triage: Documented background handling corporate phone lines, managing central reception email queues, and addressing guest requests or complaints efficiently.
- Cross-Departmental Synergy: Proven ability to transmit guest feedback and special room instructions instantly to housekeeping, maintenance, and kitchen teams to guarantee absolute order preparation.
Key Responsibilities
Guest Welcoming & Check-In/Check-Out Management
- Provide Luxury Welcomes: Greet arriving guests with genuine warmth and professional courtesy, guiding them smoothly through registration and property orientation.
- Govern Front Desk Operations: Execute error-free check-in and check-out procedures, verifying guest identification, establishing payment methods, and processing billing documentation accurately.
- Coordinate Room Readiness: Partner with the executive housekeeping team to monitor room statuses, managing early check-in requests and late departures effectively.
Reservation Ledger & Communication Management
- Process Booking Requests: Oversee corporate booking systems, processing phone, walk-in, and online reservations while working to maximize room occupancy and yield.
- Resolve Guest Inquiries: Act as the central knowledge hub for guests, providing accurate information regarding hotel amenities, dining hours, transit logistics, and local Kigali attractions.
- Balance Shift Logs: Maintain clear, concise shift handovers, documenting guest requests, outstanding maintenance alerts, or billing adjustments for the incoming front-office team.
- Uphold Brand Integrity: Ensure the reception area remains pristine, organized, and compliant with the aesthetic standards of a premium luxury boutique property.
