Job Summary
The Finance Associate manages, tracks, and optimizes daily accounting workflows and ledger balances across our remote business operations. Core daily duties include recording transactions and managing accounts payable/receivable entries within QuickBooks, building monthly data summaries and financial reports, maintaining formulas and layout structures in Google Sheets, collaborating with department heads to support budget tracking, and assisting with audit preparations.
Foundational Accounting & Technical Prerequisites
- Proven Professional Tenure: Minimum of 2 to 3 years of direct, hands-on experience operating as a Staff Accountant, Accounting Associate, professional Bookkeeper, or corporate Accountant.
- Advanced QuickBooks Competence: Advanced proficiency utilizing QuickBooks for comprehensive day-to-day financial management, transaction categorization, and ledger balancing.
- Sheet Optimization Depth: Strong command of Google Sheets, including advanced formula architecture, data organization, pivot tables, and financial layout management.
- Accounts Process Mastery: Demonstrated experience executing end-to-end accounts receivable ($AR$) and accounts payable ($AP$) workflows, invoice processing, and collection mechanics.
- Linguistic Articulation: Excellent written and verbal communication skills, with a keen attention to detail and a commitment to data accuracy.
- Remote Independence: Proven ability to thrive in a fast-paced virtual office environment, managing time effectively while working independently.
- US Base & Scheduling Flexibility: Must be based within the United States and fully available to work extended or weekend hours as needed to meet time-sensitive business demands.
Preferred Qualifications & System Multipliers
- Payroll Infrastructure Experience: Prior hands-on experience managing corporate payroll processing, tax filings, or employee compensation tracking.
- Distributed Support Experience: Prior background supporting decentralized teams or operating inside a remote-first corporate culture.
- Compliance & Audit Familiarity: Solid familiarity with baseline financial compliance standards, corporate internal controls, and standard audit preparation processes.
Key Responsibilities
1. Ledger Management & Accounts Reconciliation
- Direct and execute the day-to-day management of accounts payable ($AP$) and accounts receivable ($AR$), ensuring absolute mathematical accuracy and timely processing.
- Utilize QuickBooks as the primary system of record for real-time bookkeeping, recording operational transactions, and maintaining organized financial databases.
- Audit inbound invoices, match purchase orders, categorize corporate expenditures, and resolve client billing discrepancies quickly to maintain smooth cash flows.
2. Financial Reporting & Sheet Data Architecture
- Prepare and compile detailed monthly, quarterly, and annual financial reports for internal executive review and operational planning.
- Maintain, structure, and optimize complex financial data tracking models within Google Sheets to improve corporate reporting, forecasting, and data analysis.
- Build automated data links, summary dashboards, and clear reference templates within our shared sheets to eliminate manual entry errors.
3. Compliance Support & Cross-Functional Budget Integration
- Collaborate cross-functionally with distributed team leaders and project heads to support budget adherence and ensure company-wide financial compliance.
- Serve as a technical resource for internal departments, answering line-item expense questions and verifying correct cost-center allocations.
- Assist with ad hoc financial analysis projects, corporate capitalization reviews, and strategic spreadsheet updates as requested by finance directors.
4. Audit Readiness & Operational Availability
- Provide direct operational support during routine corporate audits, assembling ledger logs, pulling transaction invoices, and organizing compliance paperwork.
- Maintain clean, well-indexed digital files and transparent audit trails for all past accounting periods.
- Remain fully available for scheduled weekend work or extended evening hours during high-volume periods, such as quarterly cross-examinations and end-of-year tax closings.

- Double-Entry Bookkeeping Precision: Strong understanding of basic debits, credits, journal entries, and balance sheet adjustments.
- Clean Invoice Management: Systematically managing vendor timelines, client payment schedules, and aging accounts receivable lists to prevent late fees or lost income.
- Asynchronous Data Communication: Writing clear, professional emails and building structured financial notes that allow non-technical remote colleagues to understand billing and budget updates easily.
- Structured Spreadsheet Habits: Keeping data organized with consistent formatting, clear cell references, and clean formula paths that remain easy for other team members to review.
- Detail-Oriented Ledger Auditing: Spotting small transaction differences, incorrect vendor codes, or duplicate entries in high-volume account logs quickly.
