Job Summary

The Community and Culture Associate manages operational support, event coordination, and compliance tracking for student organizations and governance bodies. Core responsibilities include advising club leaders on budget and meeting structures, managing sports equipment inventories, distributing student feedback surveys, drafting weekly newsletter updates, and ensuring all co-curricular activities match institutional safety standards.

Key Responsibilities

1. Management of Student Clubs, Societies & Governance (35%)

  • Guide Club Leadership: Advise student clubs and societies on leadership development, operational planning, constitutional alignment, and fundamental financial management.
  • Support the SRC Execution: Provide daily administrative structure to the Student Representative Council (SRC)—including coordinating meetings, preparing formal agendas, recording minutes, chasing action items, and routing communications.
  • Facilitate Campus Showcases: Organize and promote seasonal club fairs and student talent showcases to maximize cross-cohort engagement and peer networking.
  • Deliver Technical Toolkits: Design and deliver training materials for student leaders focusing on event coordination, target fundraising, and peer-level conflict resolution.
  • Govern Onboarding & Registry: Act as the operational resource for emerging student groups, facilitating the registration and constitution approval pipelines for new societies.

2. Event Logistics & Sports Coordination (30%)

  • Secure Venue & Logistics: Handle space bookings, basic asset logistics, and small-scale budget tracking for general club functions and all SRC-hosted forums.
  • Manage Sports Assets: Coordinate club-level sports schedules, handle equipment checkout tracking, secure practice venues, and interface regularly with club coaches.
  • Facilitate Pan-African Exchanges: Organize localized networking mixers, alumni career panels, and professional breakout sessions designed for targeted student groups.
  • Coordinate Guest Relations: Serve as the chief on-site liaison for external guests participating in student governance events, handling registration tracking, gate access, and itinerary layouts.

3. Digital Communications, Data Analytics & Reporting (20%)

  • Update Digital Platforms: Manage and push fresh content onto student-facing digital portals and club-specific pages, ensuring text matches Student Life communication policies.
  • Draft Weekly Newsletters: Author and package club-level updates, operational successes, and official announcements for inclusion in the weekly university student newsletter.
  • Deploy Evaluation Surveys: Distribute post-event satisfaction surveys following SRC and club initiatives, entering raw participation and feedback values into the institutional data base.
  • Compile Operational Reports: Generate routine activity logs, attendance lists, and action-item summaries for delivery to the Senior Associate and Student Affairs Lead.

4. Compliance, Safeguarding & Risk Administration (15%)

  • Enforce Institutional Guidelines: Review all planned club and student governance events to guarantee strict compliance with health, safety, and operational conduct standards.
  • Champion Safeguarding Frameworks: Actively enforce ALU's comprehensive zero-tolerance safeguarding policy to preserve the physical and emotional well-being of young adults on campus.
  • Maintain Incident Logs: Document behavioral issues or code-of-conduct violations occurring during student-run events, coordinating follow-up steps with campus security.
  • Execute Escalation Workflows: Adhere to strict communication pathways—escalating governance disputes, election integrity matters, high-budget approvals, or severe safeguarding issues up to the Senior Associate or Student Affairs Lead.

Experience & Competencies

Candidates must demonstrate a solid foundation in student affairs, high emotional intelligence, and strong operational coordination skills:

Educational Baseline & Professional Tenure

  • Academic Requirement: A formal Bachelor’s degree in Student Affairs, Education, Community Development, or a closely matching social science field.
  • Higher Education Background: Minimum of 2+ years of direct professional experience operating inside a student-facing capacity, with a strong preference for individuals who have worked within higher education systems or international student housing networks.
  • Community Programming Track Record: Verifiable history of designing, structuring, and running interactive, small-to-mid scale community-building initiatives or youth empowerment programs.

Functional Skills & Technical Capabilities

  • Student Advisory Capability: Proven knowledge of student development theories and a practical understanding of how to guide student-led governance (SRC) and clubs.
  • Event & Budget Coordination: Strong logistical skills with a demonstrated ability to map out venue needs, track inventory counts, and monitor minor project operational expenditures.
  • Data & Digital Systems Agility: Fluent capability utilizing shared spreadsheets, data-entry systems, and communication platforms to compile crisp activity metrics.
  • Cross-Cultural Communication: High fluency in navigating multi-cultural environments, demonstrating an innate ability to facilitate group discussions among international student bodies from diverse African nationalities.

  • Clean, archived sets of SRC meeting minutes, follow-up action matrix logs, and guest clearance documentation.
  • Weekly, polished event summaries and announcement blurbs submitted punctively for the student newsletter feed.
  • Monthly data inputs reflecting event attendance, student survey feedback scores, and sports equipment inventory audits.
