Job Summary
The Business Services Team Manager directs, polices, and scales Canonical's end-to-end corporate administration, travel procurement, and international logistics ecosystem. Core daily duties include managing a multi-million dollar operational spend, designing high-efficiency international event logistics templates, auditing global expense claims against strict corporate frameworks, enforcing corporate policy accountability across all leadership tiers, and overseeing global duty of care, health, and safety programs.
Foundational Leadership & Operational Prerequisites
- Exceptional Academic Blueprint: A flawless, documented academic track record achieved across both high school and university levels.
- Academic Qualification: A completed undergraduate university degree (BA, BSc, or equivalent) in a Technical or Business discipline.
- Proven Management Tenure: Demonstrable leadership, people management, and team-scaling capabilities developed within complex corporate environments.
- Exceptional Financial & Policy Judgment: A clear, verifiable track record of applying sound judgment in matters involving multi-million dollar operational budgets, procurement negotiation, and corporate compliance frameworks.
- Assertive Accountability Mastery: Strong interpersonal presence with the confidence to hold colleagues accountable, address policy exceptions, and politely defend compliance rules with both the most senior and junior team members.
- Cross-Cultural Agility: Deep experience operating successfully within a matrixed, highly global, and multicultural enterprise environment.
- Execution Velocity & Drive: A documented personal history of going above and beyond baseline performance metrics, showing the ability to handle high volumes of tactical work quickly.
- High Global Mobility: Full flexibility and willingness to travel internationally up to four times a year for company events that can last up to two weeks per trip.

Key Responsibilities
1. Global Travel Procurement, Logistics & Operations
- Architect, implement, and optimize a highly efficient corporate travel infrastructure capable of moving hundreds of employees seamlessly across 80+ countries.
- Navigate complex global immigration paths, international visa requirements, travel complications, and unexpected logistical disruptions under tight timelines.
- Lead end-to-end procurement negotiations with global airlines, hospitality conglomerates, transit providers, and event vendors to maximize budget efficiency and service quality.
- Manage corporate operational and executive briefing facilities in key regional office hubs, including London, Taipei, and Beijing.
2. Large-Scale Event Architecture & Execution
- Oversee the complete operational lifecycle of Canonical’s major company events, occurring four times a year across various international destinations.
- Direct all phases of event planning, including rigorous venue sourcing, contract negotiation, scheduling matrix layout, and onsite operational reviews.
- Attend every international event in person to build strong relationships with team leaders, supervise onsite logistics, and run comprehensive real-time safety audits.
3. Policy Compliance, Governance & Shared EA Services
- Serve as the independent check on global expense claim approvals, ensuring absolute fairness, transparency, and consistency across all corporate regions.
- Set and enforce clear, objective compliance expectations regarding corporate budgets, maintaining complete policy integrity without exception.
- Transform traditional executive assistant functions into a highly scalable, department-agnostic shared business services engine.
- Supervise the delivery of standardized administrative support, including complex meeting scheduling, monthly corporate reporting coordination, and delegated travel approvals.
4. Global Duty of Care, Health & Safety Strategy
- Maintain, expand, and enforce Canonical's universal duty of care, health, and safety programs through up-to-date corporate policies and operational frameworks.
- Establish repeatable risk-mitigation protocols, emergency response matrices, and safety reviews to protect all team members during distributed operations.
- Analyze operational data, logistics spend, and compliance trends to generate clear, actionable management reports for executive leadership.
