Job Summary
The Accounts Receivable & Payable Specialist manages end-to-end multi-currency cash processing, supplier invoice flows, and intercompany ledgers using Oracle NetSuite. Core daily tasks include driving cross-border collection runs, performing three-way matching on supplier invoices, validating EU VAT and US tax exemptions, building NetSuite saved searches, updating multi-entity records, and posting adjusting journals to close the books smoothly each month.
Required Dual-Track Accounting & NetSuite Prerequisites
- Domain Footprint: Proven, successful professional experience handling both Accounts Receivable (Credit Control) and Accounts Payable processing functions inside an international corporate structure.
- NetSuite Ecosystem Mastery: Direct, advanced working proficiency using Oracle NetSuite is strictly required. You must have hands-on experience building custom saved searches, updating entity records, executing payment matching, and posting journals.
- Multi-Currency Treasury Experience: Hands-on background processing financial items across multiple legal entities and international currencies, specifically GBP, USD, and EUR.
- Advanced Excel Capabilities: Strong mastery of Microsoft Excel data manipulation, including high comfort running VLOOKUPs, building Pivot Tables, and writing logical IF formulas.
- Tax Architecture Literacy: Foundational understanding of international tax verification frameworks, specifically US sales tax exemptions (resale certificates) and/or EU VAT validation steps.
- Linguistic Standard: Superior written and verbal English communication capabilities, tailored for clear, collaborative problem-solving across internal sales loops and global client networks.
Preferred Technical Assets & Procedural Qualifications
- ERP Customization Skills: Previous experience configuring automated dunning workflows, custom ledger views, or advanced payment gateways inside NetSuite.
- Advanced Multi-Entity Closing: Prior experience managing complex intercompany billing, cross-subsidiary adjustments, or foreign exchange gain/loss calculations at month-end.
- Process Documentation: Familiarity with drafting financial standard operating procedures (SOPs) or internal control checklists to optimize treasury data protection.
Key Responsibilities
1. Accounts Receivable & Global Credit Control (40%)
- Drive Cross-Border Collections: Manage international debt collections, spotting late payments, resolving clearing errors, and syncing with Sales teams to clear client invoice disputes politely.
- Sync Ledgers in NetSuite: Log incoming customer wire transfers, ACH deposits, and SEPA payments into NetSuite, matching cash to clear outstanding client balances precisely.
- Grade Credit Risk Profiles: Monitor credit risk parameters for new and existing corporate accounts, recommending credit terms and safe limits based on payment data.
- Manage Global Records: Configure customer accounts across global subsidiaries, ensuring correct setup of local currencies, subsidiary routing, payment rules, and tax codes.
- Validate Tax Documents: Collect and verify essential customer tax files, including US resale certificates and EU VAT identification numbers, ensuring complete compliance.
- Close Month-End AR: Complete month-end AR closing routines, generating regional customer statements, matching unapplied cash, and writing detailed AR aging reports for leadership.
2. Accounts Payable & Supplier Flow Governance (35%)
- Run Three-Way Matching: Process supplier invoices in a timely manner, performing three-way matching against purchase orders or receipts while ensuring correct general ledger (GL) account coding and internal manager approvals.
- Manage the AP Inbox: Oversee the central AP email inbox, resolving pricing differences or payment queries while reconciling supplier accounts against internal balances.
- Support Month-End AP: Assist with month-end closing by calculating AP accruals, logging open operational liabilities, and reviewing aged payables lists.
3. Intercompany Reconciliations & Adjusting Journals (15%)
- Balance Cross-Subsidiary Ledgers: Reconcile intercompany receivable and payable balances across multiple legal entities each month, ensuring cross-border balances match perfectly.
- Post Adjusting Journals: Draft and post necessary intercompany adjusting journals inside NetSuite to clear balance variances caused by foreign exchange fluctuations.
4. Continuous Process Optimization & Internal Controls (10%)
- Upgrade Transaction Workflows: Proactively identify process gaps in the payment pipeline, building custom NetSuite saved searches and better controls to protect corporate capital and streamline workflows.
